LIONS CLUB OF SIDMOUTH - PRIVACY POLICY


General Principles

The Lions Club of Sidmouth is committed to keeping your information private. By 'your information' we mean any information about you that you or third parties provide to us. We promise to respect any personal data that you are happy to share with us or allow others to give to us. We ask for this data in order to communicate with you in the manner in which you have requested contact. This policy relates to the privacy of your information held by us and our ‘Privacy Principles’ below explain how we will handle your information.

·We will train our members on their privacy obligations

·We will ensure we have appropriate physical and technological security measures to protect your information regardless of where it’s held

·We will ensure that if we outsource any processes, the supplier has appropriate security measures in place and will contractually require them to comply with these Privacy Principles

How is your personal data collected by us and why

1. You give us your data directly:

When you contact us for information or assistance, make a donation, buy a Duck Derby or Easter Raffle tickets, volunteer, or share information with us via our members or our website, we will collect details that enable us to process or administer our relationship with you. By purchasing a Sidmouth Lions Duck Derby ticket or Easter Raffle entry, you lawfully consent to the short term exclusive use of your contact details by the Lions Club of Sidmouth.

2. You give us your data indirectly:

Third parties may contact us on your behalf and you have agreed for them to provide us with your details so that we can contact you.

What data we collect and why

1. Lion Members: the information we hold about you and our use of your personal data is set out in your Consent Statement. 

2. Third Party Relationships: if you have been in contact with the Lions Club of Sidmouth and your personal data has been directly or indirectly supplied to us, it is used by us exclusively to process the interaction with you. We will ask you how you would prefer us to contact you. In addition to the reason for contacting us, the information that you provide may include:

·Your name

·Your address

·Your telephone number(s)

·Your email address

·Your age/date of birth 

If you register for an event such as a theatre trip or a Lions social we may also ask you for additional information so that we can make sure we deliver an event that is safe and which can be fully enjoyed by the people taking part. 


Who we share your data with

The Lions Club of Sidmouth promises never to sell your data to any third party, or share it with any third party for marketing purposes.

Data Disposal

Within 7 working days of the receipt of your request, personal data stored electronically will be deleted from our systems and paper held records will be destroyed by secure shredding.

Duck Derby ticket stubs and Easter Raffle sheets containing your personal contact details will be destroyed by secure shredding within 60 days of the event.

Your rights

You have the right to know what data we hold about you and you have the right to ask to see a copy of this at any time. If any part of this data is inaccurate or missing, please let us know so that we can amend it. Any amendments you tell us about will be corrected within five working days. If you wish to see a copy of your information please write, with details of the data you wish to see and proof of your identity, to our Data Protection Officer, at the address provided above. We will accept requests by mail or email but we will respond to such requests by mail so that we can ensure that personal data is only given to the right person.  You have the right to request that we delete your data in full at any time.
